Corpay is currently looking to hire an Office Manager within our CCS division. This position falls under our Corporate Payments line of business, located in Prague, Czech Republic. In this role, you will be acting as a central point of contact for all things related to the smooth and efficient operation of the office. Is responsible for creating a positive and productive and safe work environment for all employees. Builds good relationships in the workplace, good relations with suppliers and partners, and constantly looks for possible improvements in the working environment and the optimisation of the set processes. In this role, you will be reporting to the General Manager & VP.How We Work
This position is offered as a fixed-term employment contract to cover for an employee on maternity and parental leave, with an anticipated duration until May 2028. As an Office Manager, you will be expected to work in a hybrid environment. Facility ManagementOverseeing daily office operations, maintaining office policies and procedures, and ensuring a smooth workflow.Keeping up daily contact with building management and building security.Managing office supplies, equipment, and furniture, ordering new items and refreshment as needed.Negotiating contracts with vendors, managing relationships, and ensuring timely payments.Coordinating with vendors for maintenance, repairs, cleaning, OHS (BOZP), and ensuring a safe and comfortable work environment.Assisting with the creation and tracking of the office budget, processing invoices.Maintaining records like financial documents, contracts with vendors and other important files.Addressing employee queries and concerns related to office management, facilities, and other administrative matters.Ensuring the office adheres to relevant health and safety regulations.Vehicle ManagementOverseeing the lease contracts, registration, insurance, and disposal of vehicles.Scheduling regular maintenance, coordinating repairs, and minimizing downtime.Managing drivers training and ensuring compliance with regulations and safety protocols (in cooperation with HR) and ensuring the fleet complies with all relevant federal, state, and local regulations.Managing the fleet budget, tracking expenses, and identifying cost-saving opportunities.Providing reports on fleet performance and finances to upper management and accounting department.Event Management & Happiness ManagementOrganizing and coordinating company events in cooperation with the team, both on-site and off-site - planning, coordination, and execution of various events, ensuring they run smoothly and meet the objectives of the organization.
